Privacy Policy

This page explains what data MeetMind may process, why it is needed, how it is used for meetings, lectures, projects, subjects, subscriptions and Contexta answers, and which public beta limitations apply.

MeetMind processes audio, text, and AI results as a user-facing service. Private materials are not used to train shared or general AI models unless you explicitly allow it or a separate agreement says so.

Use the official support channel for privacy, deletion, billing and abuse requests.

Operator and data contact

MeetMind is a service for recording, uploading, transcribing, structuring and searching user-provided materials. The contracting entity, payment provider or store channel may depend on your country, platform and purchase source.

For data, deletion, access, recording complaints, billing or abuse questions, contact support@meetmind.tech. In the first message, include your account email, platform, material type and a short description, but do not send a full transcript or audio unless support asks for it.

MeetMind works with account, device, user material, AI result, payment and technical diagnostic data.

What data MeetMind may process

Account data may include email, name, user id, OAuth identifiers, region, country, interface language, recognition language, time zone, currency, sessions, cookies, devices, push tokens and product settings.

User materials may include projects, subjects, meetings, calls, lectures, notes, documents, audio, temporary upload files, raw provider transcript JSON, transcripts, segments, speaker labels, translations, summaries, tasks, decisions, risks, review plans, exports and activity history.

Processing is needed to operate the service, protect it, support users, handle billing and meet required obligations.

Why we process data

We process data to create accounts, receive uploads, recognize speech, build transcripts, summaries, tasks, learning materials, Contexta answers, exports, limits and subscription history.

We may also use data for support, diagnostics, bug fixing, abuse prevention, fraud and risk checks, security, payment records, legal compliance and protecting the rights of MeetMind, users and third parties.

Contexta uses selected sources and creates derived user materials.

Contexta, AI results and service improvement

Contexta may create questions and answers, memory entries, source references, indexes, classification signals, artifacts, explanations, study notes and other derived results from selected meetings, notes, projects, lectures, subjects or documents.

We do not use private audio, transcripts, notes, documents, questions, or answers to train public or general AI models unless you explicitly allow it or a separate agreement says so. We may use aggregated, de-identified, non-reconstructive technical signals to improve reliability, quality, safety, and service limits.

MeetMind may use external technical providers to operate the service.

Providers, processors and data transfers

MeetMind may send necessary data to hosting, object storage, speech-to-text, AI/LLM, authentication, email, support, diagnostics, push notification, payment, call/media infrastructure and security tooling providers.

Data may be processed outside your country. Interface language, currency or account country does not by itself mean local storage. Storage and processing regions depend on product availability, plan, platform, provider, region and applicable requirements.

Retention periods depend on data type, plan, feature, region and lifecycle policy.

Retention, raw audio and backups

Raw audio, call media, temporary files and raw provider payloads are technical files for upload, recognition, retry, recovery and processing-quality checks. They are normally retained for a limited time according to your plan, privacy mode, feature settings, regional policy or current lifecycle policy.

Transcripts, notes, summaries, tasks, learning materials, Contexta artifacts, source references and exports are user work data and are usually retained until the user, material, project, subject or account is deleted, or until an applicable retention period expires.

Users can manage materials and send privacy requests.

Access, export, correction and deletion

You can use available product features to view, export, delete or change materials. If the feature you need is not visible, contact support with your account email and material type.

Account deletion deletes or de-identifies private account data and related work materials in active systems, including personal projects, meetings, notes, learning materials and private Contexta surfaces. Some records may remain for a limited time in backups, security logs, payment, legal, dispute-resolution or anti-abuse records where necessary or allowed by law.

We use reasonable safeguards, but no service can guarantee absolute security.

Security and limitations

MeetMind uses technical and organizational measures to protect data, limit access, support diagnostics, redact where possible and control abuse. No internet service can guarantee absolute security or error-free operation.

AI results, transcripts, summaries, tasks, review plans and Contexta answers may be incomplete, inaccurate, outdated or non-unique. Do not upload highly sensitive data unless you are comfortable with the processing and risks described here.

MeetMind is not a school compliance platform without a separate written agreement.

Students, children and education data

The service is not intended for children below the applicable age without consent from a parent, guardian, school or other authorized person. The user, teacher or organization is responsible for having the right to upload student, education or child data.

If you use MeetMind in an educational organization, make sure processing matches institutional rules and applicable law. Without a separate written agreement, MeetMind does not promise special education, medical, financial, legal or regulated-compliance modes.

This policy may change with the product, laws and service requirements.

Policy changes

We may update this policy when features, providers, regions, plans, payment methods or applicable law change.

If a change materially affects data processing, we will try to notify users in an appropriate way, such as through the site, app, account, email or support channel.
